Reply rate
Reply rate is the percentage of prospects who respond to an outbound sales or marketing campaign, calculated by dividing total replies by total unique recipients.
Reply rate is a key performance metric for outbound sales that measures the percentage of unique prospects who responded to an outreach campaign. It is calculated by dividing the total number of replies by the number of unique people contacted, then multiplying by 100. A reply can be positive, negative, or neutral; the metric simply tracks that a human response was elicited.
Unlike open rates, which have become unreliable due to email privacy features that pre-load tracking pixels, reply rate is a direct and definitive measure of engagement. It shows that the messaging, value proposition, and call-to-action were compelling enough to warrant a response.
Why Reply Rate Matters
Reply rate is the primary indicator of an effective sales cadence. While open and click rates can provide some directional insight, only a reply confirms that a prospect has read and processed the message.
A high reply rate suggests that:
- The prospect list is well-targeted to the Ideal Customer Profile.
- The messaging is relevant and resonates with the target buyer persona.
- The timing of the outreach is relevant, potentially anchored to a buying signal.
Tracking reply rate helps sales teams iterate on their outreach strategies, testing different subject lines, body copy, and calls-to-action to see what generates the most conversation.
Reply Rate Benchmarks
B2B reply rates can vary significantly based on the industry, persona, and quality of the outreach. While there is no universal standard, some general benchmarks can provide context.
Broad, less personalized campaigns often see reply rates of 3% to 5%. Highly personalized outreach, especially that which leverages signal-based prospecting triggers, can achieve reply rates of 10% or higher. A consistently low reply rate (below 1-2%) often indicates a problem with the targeting, messaging, or deliverability of the cold emails being sent.
